Case study: Implementing Dynamic Approvals Training Programme within a UK Pharma Company

THE ASK

•  A UK pharma company had recently included the Dynamic Approvals process and the use of Digital AQPs within their standard operating procedures for the approval of digital content.
•  They wanted to ensure that all relevant stakeholders were onboarded effectively to use this process and maximise the potential of their digital outreach with product websites, event platforms and emails.
•  They also wanted to be able to train specific individuals as digital AQPs, so that they had digital experts in house as well as externally.


THE SOLUTION

•  Company workshop: We ran a website compliance and dynamic approvals workshops bringing key stakeholders together to discuss day-to-day issues with website approvals and solutions to these by making fundamental changes to the approval process.
•  Online self-directed courses: The workshop learning outcomes were developed further into online courses with validations to allow individuals to explore the concepts in more detail.
•  Brand team masterclasses:  The medDigital Scientific Specialists supported brand teams in understanding how to use workbooks and set up website projects using dynamic approvals.
•  Signatory support: Sessions were put in place specifically for final signatories to support the transition to approving workbooks vs the traditional approach.
•  Digital AQP training: A dedicated team are being trained and validated on the QC process to ensure that digital content can go through detailed quality checks across devices prior to going live.

THE BENEFIT
•  The terms ‘Dynamic Approvals’ and ‘Digital AQP’ are now widely recognised, understood and supported across the business.
•  The training programme has enabled teams to come together to iron out inconsistencies and generate a common language for how to manage compliance related issues. 
•  The use of workbooks is facilitating the approval of complex platforms by creating a simpler way for approvers to understand content and functionality.  
•  All brand websites are being updated with the support of a Digital AQP which:
•  Is identifying compliance related display issues across devices before going live. 
•  Is providing a fully auditable trail for all website updates.
•  Is creating a way for teams to make rapid updates without needing to reapprove job bags each time.
